Thank you for choosing Glocal Rwanda Safaris. These Booking Terms & Conditions outline the agreement between you ("the Client") and Glocal Safari Rwanda ("the Company"). By confirming a booking with us, you acknowledge that you have read, understood, and accepted these terms.

1. Booking Confirmation

Your booking is confirmed once we receive:

• Your written confirmation.
• The required deposit or full payment, as agreed.
• Confirmation of availability for accommodation, permits, and other travel services.

Once confirmed, we will send you a booking confirmation, invoice, and final itinerary.

2. Payment Terms

A deposit may be required to secure your booking, particularly for gorilla permits, accommodation, and other third-party services.

Unless otherwise agreed, the remaining balance must be paid before the start of your safari.

Payment instructions will be provided on your invoice. Any bank transfer charges or transaction fees are the responsibility of the client.

3. Safari Prices

All safari quotations are based on the costs, taxes, park fees, and exchange rates applicable at the time of quotation.

Should significant changes occur beyond our control, including government tax revisions, park fee adjustments, fuel price increases, or currency fluctuations, we reserve the right to revise the quoted price. Any such changes will be communicated to you promptly before departure.

4. Cancellation & Refund Policy

If you need to cancel your safari, please notify us in writing as soon as possible.

Refunds will be processed as follows:

• More than 60 days before departure: Full refund of the safari cost, less any non-refundable expenses already incurred (such as gorilla permits, golden monkey permits, airline tickets, bank charges, or other third-party supplier fees).
• 60-31 days before departure: 60% refund of the remaining safari cost.
• 30-10 days before departure: 30% refund of the remaining safari cost.
• Less than 10 days before departure: No refund.

No refunds will be made for any unused portion of the safari after the tour has commenced.

5. Gorilla & Golden Monkey Permits

Gorilla and Golden Monkey permits are non-refundable once purchased, in accordance with the policies of the Rwanda Development Board (RDB) and the Uganda Wildlife Authority (UWA), where applicable. Subject to the wildlife authority's regulations and permit availability, permits may be rescheduled upon payment of the applicable administrative fee.

We strongly recommend booking permits well in advance due to their limited availability.

6. Changes to Bookings

If you wish to amend your travel dates, accommodation, itinerary, or number of travelers, please notify us as early as possible.

All changes are subject to availability and may incur additional costs.

7. Changes by Glocal Rwanda Safaris

While every effort is made to operate your safari exactly as planned, we reserve the right to modify the itinerary, accommodation, transportation, or activities when necessary due to weather conditions, park regulations, supplier availability, safety concerns, or other circumstances beyond our reasonable control.

Where possible, suitable alternatives of an equivalent standard will be provided.

8. Travel Documents

It is the client's responsibility to ensure they possess:

• A valid passport.
• The required visa(s).
• Vaccination certificates or health documents where applicable.
• Any other travel documents required for entry into the destination country.

Failure to obtain the necessary travel documentation does not qualify for a refund.

9. Travel Insurance

We strongly recommend that all clients obtain comprehensive travel insurance before travelling.

Your insurance should cover:

• Trip cancellation or interruption
• Medical emergencies
• Emergency evacuation
• Personal accident
• Loss or theft of luggage and personal belongings

Glocal Rwanda Safaris shall not be liable for losses that could reasonably be covered by travel insurance.

10. Wildlife Viewing

Wild animals live freely in their natural habitat.

While our experienced guides make every effort to maximize wildlife viewing opportunities, sightings of specific animals cannot be guaranteed.

11. Client Conduct

Clients are expected to respect fellow travelers, guides, wildlife, local communities, and all park regulations throughout the safari.

Glocal Rwanda Safaris reserves the right to refuse or terminate the participation of any client whose behavior is considered dangerous, disruptive, unlawful, or likely to negatively affect the safety or enjoyment of others, wildlife, or the environment.

In such cases, no refund shall be payable.

12. Force Majeure

Glocal Safari Rwanda shall not be liable for delays, cancellations, itinerary changes, or additional expenses resulting from events beyond our reasonable control, including but not limited to:

• Natural disasters
• Severe weather conditions
• Political unrest
• Government restrictions
• Epidemics or pandemics
• Airline disruptions
• Any other unforeseen circumstances

13. Currency Information

For your convenience, we recommend travelling with clean and undamaged US Dollar banknotes issued from 2013 onwards.

Older US Dollar notes may be accepted at a lower exchange rate or declined by some banks, exchange bureaus, hotels, and businesses in Rwanda and Uganda.

14. Privacy

We respect your privacy. Any personal information collected during the booking process will be used solely for arranging your safari and communicating with you regarding your booking.

We do not sell or share your personal information with third parties except where necessary to provide the services included in your booking.
